POSITION OVERVIEW

We are currently seeking a Legal Administrative Assistant to join our Floater Resource Team.  The position provides an opportunity to work with a vibrant and team oriented group of people. The successful candidate will have between 3-5 years’ experience working in a Canadian law firm, be energetic, flexible, highly motivated and driven to succeed.

RESPONSIBILITIES

You will be providing coverage to lawyers during periods of vacation and other absences.  You will be liaising with other legal assistants, paralegals, lawyers and clients regarding file progress. You will be drafting and transcribing legal documents, basic pleadings and correspondence, fielding client inquiries, managing a bring-forward system for tasks and appointments, organizing meetings and scheduling discoveries, trials, and other court dates, preparing application records, keeping paper and electronic files up-to-date, preparing monthly accounts, conducting searches, providing overflow assistance and other various general administrative duties.

QUALITIES + EXPERTISE

  • Completion of an accredited Legal Administrative Assistant program
  • 3-5 years of experience as a Legal Administrative Assistant
  • A thorough understanding of civil litigation rules and procedures. Experience in corporate and estate litigation will be considered an asset

POSITION OVERVIEW

Harper Grey is currently seeking a permanent full-time Administrative Assistant to join our team. The hours are Monday through Friday from 8:30 a.m. to 4:30 p.m. (total 35 hour a week). The position provides an opportunity to work with a vibrant and team oriented group of people. The successful candidate will have 1-2 years office experience, be energetic, flexible, highly motivated and driven to succeed.

RESPONSIBILITIES

  • Perform regular administrative duties
  • Create accordions and binders and prepare contact sheets
  • Prepare close file reports, strip files, follow payment of invoice, organize file materials in boxes
  • Coordinate a variety of appointments
  • Print / copy / scan / save documents in document management system
  • Organize documents following specific instructions
  • Prepare expense report and maintain special disbursements
  • Assist with accounting, billing and payment tasks
  • Process all outgoing correspondence and sort all incoming mails
  • Keep various lists up-to-date

QUALITIES + EXPERTISE

  • At least 2 years in an administrative support role in a professional services environment
  • Ability to work with little supervision and take the initiative to ensure efficient management of work
  • Must have excellent proof reading, writing, spelling and grammar skills

POSITION OVERVIEW

We are currently seeking a full-time Reception Relief / Office Services Clerk to join our team. The hours are Monday through Friday from 10:00 a.m. to 6:00 p.m. The position provides an opportunity to work with a vibrant and team oriented group of people. The successful candidate will have 1-2 years office experience, be energetic, flexible, highly motivated and driven to succeed.

RESPONSIBILITIES

  • Greet Clients/Visitors arriving at the reception desk
  • Process incoming calls (both externally and internally)
  • Route incoming faxes to appropriate individual(s)
  • Attend to all e-mail correspondence as needed
  • Coordinate boardroom/conference room bookings
  • Work with hostess, to ensure refreshment/food requirements prior to the scheduled meetings
  • Work to ensure that the reception waiting area and all board/conference rooms are kept clean and tidy
  • Provide miscellaneous administrative assistance to firm members as time may allow
  • Provide daily reception coverage to the full-time position (3.5 hours per day)
  • Close reception desk daily at 6:00 pm
  • Monitor office supply inventory levels and submit purchase orders to various vendors
  • Receive, sort and distribute all incoming mail and process all outgoing correspondence
  • Provide internal runs to distribute internal and external correspondence
  • Ensure appropriate postage disbursements are entered accurately into the cost recovery terminal
  • Process and dispatch daily courier request and Xpress Post (registered) based on the individual needs
  • Follow up on any misdirected and/or delayed courier shipments and relay information back to appropriate staff member to ensure requested delivery criteria is met
  • Perform general office duties such as typing, photocopying, faxing and printing reports
  • Work to ensure that equipment is in good working condition and arrange for required servicing to reduce and/or eliminate downtime
  • Work to copy (burn) requested image/data as requested to CD and ensure appropriate cost recovery of same
  • Collect, sort, prepare and scan documents; label and enter documents into the computer system; prepare files and forward documents for recycling and/or shredding
  • Provide assistance with the movement of boxes, files, furniture, etc. as may be required
  • Provide coverage to housekeeping as may be required
